Examiners

How many examiners are there?
There are 2 or 3 examiners.
Who can be an examiner?
Any person accredited to supervise research (Habilitation à Diriger une Thèse [HDR] or the foreign equivalent) may act as examiner. However, they must not be part of the thesis supervision team or doctoral project, nor have co-authored anything with the PhD candidate.
Can a professor emeritus act as an examiner?
No.
What is the role of an examiner?
At least 14 days before the date of the thesis defense, examiners submit a report in which they issue a positive or negative opinion on the PhD candidate’s ability to defend his/her thesis. Should the opinion be positive, the candidate may defend the thesis. Both examiners must be in favor.
Can said reports be written in English?
Yes.
When must the reports be submitted?
In accordance with Article 17 of the decree of August 26, 2022, amending the decree of May 25, 2016, which defines a national framework for education and the procedures leading to the award of the French PhD degree: “At least 14 days before the date scheduled for the thesis defense, examiners shall submit their opinions in written reports. This will form the basis for the head of the institution to authorize the defense. The reports are to be sent to the committee and the PhD candidate before the defense.”

The committee

How many members should there be on the committee?
Between 4 and 8 members.

If the thesis is overseen by an adviser/supervisor and a co-adviser/co-supervisor, there should be a minimum of 5 committee members so as to avoid a situation where only 2 members of the committee sign the thesis defense report (which the supervisor and the co-supervisor do not sign).

Who can be a committee member?
• A professor emeritus (if supervisor or co-supervisor, he/she must have started supervising the thesis before becoming a professor emeritus)
• A person with a PhD
• The co-author of a scientific publication
Can a professor emeritus act as committee member?
Yes.
What should be the ratio of internal/external members?
Internal members: no more than half (≤50%)

External members: no less than half (≥50%)

Who is deemed to be an internal member?
Anyone affiliated to the University of Toulouse (UT).
What should be the ratio of full professors to associate professors?
At least half the committee should be composed of full professors.
Who can act as Committee Chair?
Anyone who is a full professor or research supervisor.

Foreign candidates may be appointed as Committee Chair upon approval by the Doctoral School.

Can a professor emeritus act as Committee Chair?
No.
Is gender parity compulsory?
Yes, wherever possible. That being said, it should not represent a barrier. In the event of equal expertise/skills, a person whose gender is underrepresented will be favored when selecting committee members.
Is it possible to change committee members or examiners once the defense application has been submitted?
Yes and no. Any modification must be assessed and validated by all parties (Thesis Supervisor, Head of Research, Doctoral School, Institution), which can result in delays and rescheduling of the defense date.

As long as the committee members have not been validated, it is possible to make changes.

What happens if a committee member is absent on the day of the defense?
  • If the committee remains compliant with the aforementioned regulations, the defense can proceed as scheduled.
  • If the committee is no longer compliant with the aforementioned regulations, the Doctoral School and/or INSA’s School Office must be contacted to find a solution, so as to make the committee compliant. Failing that, the thesis defense must be postponed.
  • Any member absent on the day of the defense will not be mentioned on the doctoral degree nor on the thesis defense certificate.
  • Videoconferencing is possible as long as INSA’s School Office is duly notified and the defense documents are updated.

Can my thesis be written in English?
Yes. However, a 3-page summary in French must be included in the manuscript.
Where can I find the title page for the thesis?
The template can be downloaded from the PhD candidate’s ADUM platform only.
How do I obtain the “Doctor Europaeus” label?
The following requirements must be met:

  • The candidate must have completed at least one trimester of their PhD in a European country other than the country where the thesis will be defended.
  • The committee must include two examiners from higher education institutions of two different European Member States other than the one where the thesis will be defended.
  • At least one committee member must belong to a higher education institution of a European Member State other than the one where the thesis will be defended.
  • The candidate must defend part of their thesis in a language of the European Union other than the national language(s) of the country where the thesis will be defended. After the thesis defense, the Committee Chair must indicate in the defense summary that part of the defense was conducted in a language of the European Union other than the national language(s) of the country where the thesis was defended (specifying which language).

The label does not appear on the degree. Should the committee award the PhD candidate a “Doctor Europaeus” label, it must specify so in the thesis defense report. A certificate will then be issued to the candidate at the same time as his/her thesis defense certificate.

 

What is the difference between confidentiality, closed defense and embargo?
Confidentiality:

  • Granted upon recommendation of the Research Department, which makes a decision before the thesis defense
  • Must be requested at least 2 months before the thesis defense
  • The form is available on the candidate’s ADUM platform
  • Time-limited measure
  • The thesis is not distributed online (neither on the internet nor the intranet)
  • Renewable by embargo

Closed defense:

  • Granted upon recommendation of the Research Department, which makes a decision before the thesis defense
  • Must be requested at least 2 months before the thesis defense
  • The form is available on the candidate’s ADUM platform
  • The thesis defense is not open to the public

Embargo:

  • May be requested by the PhD candidate when submitting the thesis to the INSA Toulouse library (Bib’INSA)
  • Time-limited measure (between 1 and 10 years)
  • The thesis is distributed only on the intranet of the institution
  • Renewable by embargo on the due date
Why must I submit my manuscript before the defense?
Submitting the manuscript at least one month before the defense is mandatory, since that version of the manuscript will be sent to the examiners.

After the defense, the final version of the manuscript must be uploaded to ADUM.

Where can I defend my thesis?
  • At INSA Toulouse
  • At the associated laboratory where you undertook your PhD research
  • Otherwise, a request for an off-site thesis defense must be made:
    • The request form can be downloaded from the candidate’s ADUM platform; it must be submitted to the Research Department for consideration 2 months before the defense.

How do I access my thesis defense documents?
Both the PhD candidate and the thesis supervisor can access the defense documents on the ADUM platform.
What happens if a committee member is absent on the day of the defense?
  • If the committee remains compliant with the aforementioned regulations, the defense can proceed as scheduled.
  • If the committee is no longer compliant with the aforementioned regulations, the Doctoral School and/or INSA’s School Office must be contacted to find a solution, so as to make the committee compliant. Failing that, the thesis defense must be postponed.

What documents are required for the thesis defense?

The thesis defense documents comprise:

  • the signature sheet
  • the thesis defense report (procès-verbal, PV)
  • the defense summary
  • the committee’s opinion on the distribution/confidentiality of the thesis
  • the videoconference certificate (if a committee member is attending via videoconference). In this case, it is also necessary to collect the proxies of the committee members who attended via videoconference.
Who signs the thesis defense documents?
  • The signature sheet and defense summary are signed by all committee members.
  • The thesis defense report is signed by all committee members, with the exception of the thesis supervisor and co-supervisor.
  • The Committee Chair signs:
    • the committee’s opinion on the distribution/confidentiality of the thesis
    • the videoconference certificate,
    • on behalf of committee members attending via videoconference.
Can the defense summary be written in English?
Yes.

After the thesis defense

How much time does the PhD candidate have to submit the defense documents?
The original documents must be sent to the INSA School Office within 15 days of the thesis defense.
How do I submit my final manuscript?
The final PDF version of the manuscript must be uploaded to ADUM. A hard copy must be submitted to Bib’INSA.
Can the manuscript be edited after the thesis defense?
Yes. If the committee has requested corrections, the new PhD degree holder has three months to submit their corrected thesis and complete the Bib’INSA submission procedure.
How do I retrieve my thesis defense certificate?
The thesis defense certificate is available on ADUM once you have completed the Bib’INSA submission procedure. Otherwise, please contact INSA’s School Office.
How do I retrieve my doctoral degree?
The School Office will contact the you by email once the doctoral degree has been issued. You must have completed the Bib’INSA submission procedure beforehand.
Do I need to stay in touch with INSA Toulouse?
You have the responsibility of updating your career trajectory on ADUM for the 3 years that follow the completion of your PhD, including:

    • the exact name and location of the companies or organizations you work for
    • any positions you hold (engineer, researcher, etc.)
    • types of contracts you have signed (fixed-term contracts and permanent contracts)
    • dates of employment
